A wedding planner and a wedding venue coordinator may sound the same, but their roles differ greatly – here is an overview of the main differences between the two.

The Distinct Role of a Wedding Planner

As a wedding planner, through the designing and planning process, I work solely on your behalf.

On the wedding day itself, I am there for you to make sure the meticulous planning results in a perfect and memorable day.

Clients usually refer to me as a friend by the time the wedding comes around and there’s comfort in knowing that all the details have become part of my DNA!  

 

Understanding the Venue Coordinator’s Role

The venue coordinator works on behalf of the venue to make sure the venue side of things is running correctly.

You will often meet the coordinator when you visit the venue, and they will be able to answer all your venue-specific questions.

They are an ambassador for the venue and become your point of contact once you have booked the venue but, on the day, they may not be there themselves, a colleague from the wedding team may oversee the day instead.

 

Dedicated Support in Supplier and Contract Management

When it comes to sourcing suppliers, getting quotes, and reviewing contracts, a wedding planner will be 100% hands-on.

I provide my couples with advice, guidance, and support when the big decisions need to be made, and recommending reputable suppliers that are passionate about the industry is a priority.

 

Limitations of a Venue Coordinator’s Assistance

The venue coordinator will support you with venue-only decisions – for example, they will advise on room layouts, food options and where the band should set up.

Unlike the services a planner can provide, there is a limited amount of breadth in terms of the support due to the nature of their role, and you may find yourself needing further help.

Why a Coordinator Can't Replace a Planner

Wedding coordinators will look after numerous weddings, often back-to-back as they represent the venue.

Therefore, it’s impossible for a coordinator to support you in all aspects of the planning, especially when an average wedding takes 250 hours to plan and organise.

  

Going Beyond the Call of Duty on Your Wedding Day

On the day, there really is no limit in terms of what a wedding planner will do!

  • I double check every detail

  • I have the contact details of suppliers to hand should calls need to be made

  • I make sure your dress is perfect as you wait to walk down the aisle,

  • I travel from your ceremony to your wedding reception should they be in different places

  • I find those elusive family members that are busy mingling but need to be in a family photo.

Oh, and I have my emergency kit with plasters, safety pins, headache tablets and more!

Differences in Responsibilities on The Big Day

On the wedding day, a venue coordinator ensures that the venue is set up as per the contract; they may not take responsibility for the design and styling details and will not travel to your ceremony site if it’s at a separate location.

 

Why a Wedding Planner and Coordinator Can Work Together

Finally, I want to emphasise that a wedding planner and a wedding coordinator will complement one another so don’t think it needs to be a choice.

If your chosen venue has a wedding coordinator then that’s great, and you can still hire a wedding planner.
